This guide walks you through the exact setup process ZROXZ follows for every client, in the right order, so you're not building on a broken foundation.
Before You Start: Account and Billing
- Sign up at gohighlevel.com — start with the $97/month Starter plan
- Set your business name, logo, and timezone immediately (this affects all timestamps)
- Add your business address — required for email compliance (CAN-SPAM)
- Connect your domain for email sending (reduces spam filtering)
Step 1: Set Up Your Phone System
The phone system is the backbone of GoHighLevel's most valuable features (SMS and missed call text-back). Set it up first:
- Go to Settings → Phone Numbers → Add Number
- Choose a local number matching your area code
- Enable SMS and voice on the number
- Set your "missed call text-back" message under Automations (we'll build this in Step 5)
- Forward calls to your business number if you want GHL to track call outcomes
Cost: approximately $1.15/month per phone number + per-SMS/per-call usage fees through Twilio.
Step 2: Build Your Pipeline
A pipeline is the visual representation of your sales process. Every contact lives in a stage of your pipeline:
- Go to Opportunities → Pipelines → Create Pipeline
- Name it for your business type (e.g., "Service Leads" or "Client Pipeline")
- Create stages that match your actual process:
- New Lead — just came in, not yet contacted
- Contacted — you've reached them
- Qualified — confirmed fit and budget
- Proposal Sent — quote or proposal delivered
- Booked — appointment or job confirmed
- Completed — job done
- Won or Lost
Step 3: Import Your Contacts
- Go to Contacts → Import → Upload CSV
- Map columns: First Name, Last Name, Phone, Email, Tags
- Add a tag like "imported-[date]" so you can identify this batch later
- Review for duplicates before confirming the import
Critical: Clean your contact list before importing. Remove invalid phone numbers, duplicates, and contacts who have previously opted out of SMS. Sending messages to opted-out contacts creates compliance issues.
Step 4: Set Up Your Calendar
- Go to Calendars → Create Calendar
- Set your available hours, appointment duration, and buffer time
- Add intake questions that must be answered before booking
- Connect to Google Calendar for two-way sync
- Test by booking a test appointment yourself
Your calendar link can be shared directly, embedded on your website, or sent via SMS by your automations.

Trigger: Incoming call missed (from your GHL number)
Wait: 30 seconds
Action: Send SMS — "Hi! You called [Business Name]. We're busy right now but we don't want to miss you. Reply here or book a call: [calendar link]"
Automation 3: Appointment Reminder
Trigger: Appointment created in GHL calendar
Action 1 (24h before): SMS — "Reminder: Your appointment with [Business] is tomorrow at [time]."
Action 2 (2h before): SMS — "Your appointment is in 2 hours at [time]. See you soon!"
Step 6: Connect Your Email Domain
- Go to Settings → Email Services → Add Sending Domain
- Add DNS records provided by GHL to your domain registrar
- Verify the domain (takes 5–30 minutes)
- Send a test email to confirm delivery
Without a connected domain, emails send from a generic GHL address and have much lower deliverability. Always connect your own domain.
